Billing

Upgrade a workspace from Free, change its paid plan, manage the card it pays with through Stripe, and fix a payment that failed.

Billing is how a workspace pays for its plan. It lives on the plan card in Settings, beside the groups on a wide screen and below them on a narrow one. Owners and admins manage it; payments go through Stripe.

Upgrade from Free

Press 7 to open Settings and find the plan card.

Click Upgrade to Basic, or Business. Stripe Checkout opens, billed monthly, with one seat for each person in the workspace.

Pay in Checkout. You come back to Settings, which says "Subscription active". If you leave Checkout instead, it says "Checkout cancelled" and nothing is charged.

To pay yearly from the start, use the upgrade dialog, which opens when you reach a limit: under each plan's price, click Pay yearly. A year costs ten months' price. For prices and limits, see Plans and limits.

Change a paid plan

On a paid plan, the card shows Change plan and Manage billing. Change plan changes the subscription you have, so you are never charged twice.

Click Change plan. Change your plan shows what you're on.

Pick the Plan, the Billing period (Monthly or Yearly) and the number of Seats, then click Review change. Seats can't go below the people in the workspace; agents are free.

The review shows Stripe's exact amount: what is due today and what the next invoice will be. The button names what happens, for example Pay $12.34 and upgrade or Schedule the change.

If sfora asks you to Confirm it's you, enter your password, or a code from your authenticator app if two-factor is on, and click Continue. See Security.

The last step says what is now true. Click Done.

When the change happens:

  • A change that raises the bill (a bigger plan, yearly billing or more seats) applies now and is charged now.
  • A change that lowers the bill waits until the renewal. The card shows when it happens, and you keep your current plan until then.
  • A change that raises one thing and lowers another is refused: make it in two steps.

To undo a scheduled change, click Keep and your plan's name (or Keep the current plan) in the notice on the card, then confirm. Nothing is charged.

Manage your card

Click Manage billing to open Stripe's billing portal for the workspace, where you update the card it pays with. When you're done, the portal brings you back to Settings.

When a payment fails

If a payment doesn't go through, the card shows Past due and the notice "Your last payment didn't go through". Your plan keeps working while Stripe retries.

Click Manage billing and update your card in the Stripe portal.

Once the invoice is paid, Past due goes away.

Change plan stays dimmed until then, with "Fix the payment first, then change the plan."

If an upgrade's card is declined, the dialog says Your card was declined. You stay on your plan and nothing changes. Click Pay the invoice, or Manage billing to update your card.

Availability

Only owners and admins can upgrade, change the plan or open Manage billing. Other members see the plan card with its buttons dimmed, and "Only workspace owners and admins can manage billing."

A plan set up by the sfora team, granted or invoiced, shows "Managed by sfora" instead of these buttons. Contact the sfora team to change it.

Troubleshooting

The billing buttons are dimmed

You're a member, not an owner or admin. Ask an owner or admin.

The review says "This review expired"

A review holds for 10 minutes. Click Back and Review change again.

The change is refused with "Make this change in two steps"

It raises one part of the bill and lowers another. Make the change that raises the bill first, then the other.
